The Department of Reception and Accommodation is believed to have formed even before OASIS started. It was there from MAYURI days. The basic aim behind the formation of the department was to receive and accommodate the outstation participants/artists and delegates coming for the fests and making sure that their stay in BITS is comfortable.
Rec n Acc, as it is popularly known, works for all the three festivals and is proud to be the only department that has its presence in CoSSAcn, StuCCA and CoStAA bodies. Rec n Acc facilitates the accommodation of the more than thousand participants and delegates bunching up in the campus for OASIS that hogs the limelight of all the festivals hosted by BITS, not to mention the almost same number for both APOGEE and BOSM as well, making a total of over 3500 to take care of each year!
The Department's main work starts way before a festival, by estimating the number of participants & calling in tenders for procuring the necessary items (like mattresses, chairs, etc.). The accommodation centres are then properly equipped and made ready for the outstation participants to check-in a day before the festival begins. The participants are sufficiently accommodated in TT rooms, common rooms and staff quarters while the accompanying staffs are allocated single rooms. The artists/guests and judges are accommodated in the VFAST hostel and other guest houses.
The other major work of the department is setting up of the stalls and providing the other depts. /clubs the necessary supplies, making it possible for them to conduct their events.
Handling these two important works, it forms the backbone of any festival.
The creative side of the department is reflected in setting up of its own registration booth, “cribs hut” as it is called, housed in M Lawns, which is a highly appreciated work of art. The glowing lampshades dangling from the hut in the night sky and the structure, depicting the theme of the fest, be it OASIS or APOGEE, are themselves a spectacle to watch.
The same hut also houses the ‘Hospitality’ counter which takes care of the needs of the participants throughout the fest and also serves as the complaints booth. Apart from this, our volunteers remain in contact with the participants during the fest for any possible complaints they might have. The 24 hours free shuttle service is a product of the dedicated efforts put in to make the stay of delegates and participants comfortable.
The department consists of 8 senior core members, 12 core members, 10 group leaders and 12 volunteers that form the enthusiastic work force. It requires a lot of coordination with all the departments and clubs, as well as the tender person to make the festival a success. “Coming together, sharing together, working together and succeeding together” is what keeps us going...
